About CAIN Educational FoundationCAIN (Catering to Africans in Need) Educational Foundation is a non-profit organization committed to empowering underprivileged African children and youth with access to quality education and essential skills to break the cycle of poverty. Since our inception, weve impacted thousands of lives through our system-based, community-centered approach, and as we continue to expand, we are seeking a highly skilled and results-driven Administrative Manager to join our mission.
Key Responsibilities
- Oversee daily office operations and ensure a productive, efficient work environment.
- Manage the Educational Resource Centre, including the library and learning spaces, ensuring they are well-maintained and fully functional.
- Supervise the maintenance and upkeep of office facilities, equipment, and supplies.
- Maintain accurate financial records, including budgeting, bookkeeping, and financial documentation.
- Organize and document meetings, including preparing agendas, taking minutes, and tracking follow-ups on action items.
- Prepare and manage reports, correspondence, and other official documentation as needed.
- Handle scheduling, procurement, inventory management, and general administrative logistics.
- Manage and coordinate the activities of support staff, including educators, custodians, and security personnel.
- Collaborate with the educational team to ensure smooth execution of programs, events, and initiatives.
- Support the planning, coordination, and implementation of educational programs and special projects.
- Build and foster strong, supportive relationships with students, promoting a positive and welcoming learning environment.
- Liaise with internal teams, external partners, and stakeholders to facilitate smooth communication and operational efficiency.
- Conduct research to support program development, grant writing, and partnership opportunities.
- Assist in fundraising efforts, including donor communications, event coordination, and record-keeping for grants and donations.
- Maintain organized digital records and administrative documentation using Google Workspace (Docs, Sheets, Slides, Drive) and other tools.
- Ensure timely and effective communication across teams to drive efficient project and program delivery.
Requirements
- A Bachelors degree in Education, Social Sciences, Business Administration, or a related field.
- 3-5 years of proven experience in administrative management or a similar role; experience in the nonprofit or education sector is a strong advantage.
- Strong interpersonal skills with the ability to effectively engage a wide range of stakeholders, including partners, donors, staff, students, and volunteers.
- Patience and the ability to build positive and supportive relationships with teenagers.
- Excellent organizational, multitasking, and problem-solving abilities.
- High proficiency in Google Workspace (Docs, Sheets, Slides, Drive) and other administrative software and tools.
- Strong written and verbal communication skills.
- Mandatory availability to work every Saturday to support program activities.
